What is so special about Property Care?
What we have is a four module tech stack all on one platform. A guest guide, cleaning/maintenance/operations, a PMS-CRM and a MARKETING CRM.
Why does it change everything?
Maybe you don’t need to change your PMS. Maybe you don’t need an enterprise PMS and it certainly brings into the equation maybe one of the most inexpensive PMS’s with an integration is the solution for you. With over thirty PMS integrations and more on the way this is entirely possible.
Currently
Property Care currently has more traction in Europe than North America, however, that will change.
Noticeable
Indicative of the Euro presence is one of the first features you will notice is the guest ID Collect Tool with passport photo validation, credit card photo validation and the integration with Whatsapp, all more Euro centric features.
Second thing you will notice is a very clean modern dashboard displaying your bookings, your properties, tasks, reports, your communication hub/unified inbox, the guest directory, services and settings. All features and a little more than you will find in a PMS and all of this information is being pulled directly from the PMS.
Bookings From Two Different Views
View your bookings pulled in from your PMS in list view or tape chart view, choose by dates, choose by filters, choose different columns, run multiply reports, easily identify booking status, such as in property, future stay, guest address, guest name, check in type, ID, balance status, pre arrival registration, payment status and more. List view gives you more information than you will find in a PMS tape chart without clicking into the reservation.
Guest Engagement
The next impressive feature is what they call the Guest Engagement platform. The importance of guest communication/engagement can never be understated. This is the precise point the PMS-CRM starts to materialize. Almost every PMS collects copious amounts of guest information and the purpose here is to collect data, manage data and retarget with this data (more to come on this when we bring in the Marketing-Crm) and something we have never seen before.
Each reservation creates a guest profile in Property Care. The guest profile lives forever on the platform. Within the profile lives all communication including past reservations, present reservations, future reservations, rental agreements, id’s, services offered like grocery delivery, airport pick up, baby rentals, every message including sms, email or Whatsapp is tracked through an audit log. Additionally pending Ids, accepted Ids and rejected Ids are logged.
Communications Hub
Supported by sms, email, tablet chat and Whatsapp. Just like in a PMS this is where you set up your templates automations, workflows, automations including pre-arrival instructions, in house instructions, key codes. Just like in the Guest Engagement module there is a detailed audit log of all communications plus identifying how the message arrived. Any outgoing triggered messages appear in this module, there is a separate audit log for sent messages. Through the Communication Hub guests can report maintenance issues including time stamped photo validation. Inbox, outbox and sent messages are all tracked with with a robust audit log. This module has more functionality than you will find in many PMS’s.
Task Management >Housekeeping/Maintenance/Operations
Called the Task Module supported by a mobile web application accessible to cleaning staff, maintenance personal and vendors. This module is as good or maybe better than any operations module I have seen. An added feature to the operations module is the planning tool. This is where different cleaning companies can plan their cleaning scheduling incorporating different cleaners, managers and inspectors. The planning tool is integrated with the Waze travel app highlighting travel time, traffic congestion, hazards, accidents, police activity, providing live travel times between properties for cleaners, inspectors and maintenance staff. This tool also provides a CRM like drag and drop card or board view dedicated to reassigning tasks based on availability and travel times.
Again the operations module is as good as I have seen and other notable features are:

- View all tasks by group
- As customizable as you desire
- Different statuses, started, in progress not started, completed and more
- High, low, medium status
- Follow a task
- As many departments as you want
- As many categories as you want
- Create tasks templates
- Create tasks

- Recurring maintenance
- Exactly what you see in a PMS-CRM you are going to see in user access including cleaning staff, service staff, maintenance staff and vendors all controlled by access filters and permissions.
Services Platform/Upselling
Set up through Screen Flow Pages which is essentially a landing page selling any type of service you want to offer, grocery delivery, airport pick up, baby rentals plus honour bar type services, providing snacks, sodas, set up with pre-authorized credit card, then pre arrival inventory check, post departure inventory check shared on a consumption basis all completed directly on the Property Care Platform. Now for the never seen before > THE MARKETING CRM <
We have talked about the PMS-CRM in the “Guest Engagement Platform” and the “Communications Hub/Module.
I have only seen on PMS with what is truly a “Marketing CRM” where all data collected in the PMS is pushed to the Marketing CRM, however, you have to log into a separate platform to access your Marketing CRM.
At very best what you will find in a PMS is some kind of integration with a MARKETING-CRM platform like Mailchimp, Constant Contact, Hubspot and maybe a few more which of course you pay a separate fee which again brings into question the real cost of your tech stack. That’s a story for another day.
But now we truly have a PMS-CRM and a MARKETING CRM all on one platform at one cost.
The first two things I noticed about the Marketing CRM was its clean design and easy to use drag and drop templates, very similar to what you find in Mailchimp and Constant Contact. It is as easy as:
- Drag and drop your logo
- Choose your colour and fonts
- Choose your column layout
- Pull in your images
- Pull in custom fields from your PMS
This is where it gets really impressive. Setting up your messaging and triggers. Something I have never seen before is when creating the campaign and work flow and defining “if this then that rules” When executing your retargeting and drip campaigns you can trigger a series of both email automations and sms automations and even mix the automated emails and SMS with in a single champaign.
In Conclusion
*This is exactly what I said would happen.
*This plug and play thing will come at a cost.
*Everyone is innovating accept for the PMS.
*What is happening in Property Care should be happening in the PMS.
Let’s look at what is missing in too many PMS’s:

This is one of the most impressive pieces of technology I have seen in the vacation rental sector. Property Care has a very bright future. For Property Care software to reach its full potential in my opinion the guests need to have access to the guest guide from the moment they book and not when they arrive at the property.
I have been advocating for years do as much on one platform as possible. Property Care is filling a very big void in our industry and this platform has a very bright future.
It is really hard for me to determine what piece of software has the best value for money in our industry. To me it is either Property Care with a Operations Module, a Pms-Crm and a Marketing Crm for $2/mo/property paid annually or $5/mo/property paid monthly or Pricelabs at $10.00 per month.
